This isn't a VA agency. We only select the top talent. You keep your full rate. Before placement, you go through training and earn a certification in home service operations.
Once placed, you're supported through a structured, paid 8-week onboarding period with regular coaching and check-ins, so you're not figuring it out alone.

What the Role Looks Like
As a Virtual Client Manager, you own the customer journey of a growing contracting business. That means:
✓ Inbound Communication — responding to calls, emails and inquiries.
✓ Project Coordination — coordinating estimates, scheduling appointments, providing updates and sending completion information.
✓ Invoicing & Collections — generate invoices, tracking payments and following up on outstanding balances.
✓ Post-Project Retention — requesting reviews and reaching out to previous clients for referrals.
This is not task-taking. You own outcomes. You anticipate what needs to happen and make it happen before anyone asks.
This is a general job description that will be tweaked for each business.
As a Virtual Client Manager, you are the operational backbone of a growing residential construction company. You manage the client-facing and administrative processes that keep the business running — so the founders can stay on the job site, in client relationships, and focused on the work that only they can do.
This is not a task-taking role. You own outcomes. You anticipate what needs to happen and make it happen. You are the person clients hear from, the person who catches the invoice before it goes overdue, the person who makes sure no lead goes cold and no project update goes unsent.
You are not an assistant. You are a professional with real ownership over real outcomes.
Your scope is specific to the construction industry. You will learn the full arc of how a residential construction project moves — from first inquiry through final invoice — and you will own the administrative and client-facing portions of that arc.
Core Responsibilities
The scope below reflects the standard CM role. Specific responsibilities are confirmed with the founder at the 90-minute kickoff.
Inbound Communication
You are the first point of contact for the business. Every inquiry — by phone, email, or form submission — is yours to handle or triage.
- Triage incoming inquiries, responding to or escalating them the same business day
- Qualify leads using the company's standards
Project Coordination
- Schedule scope-out visits and confirm appointments
- Track quote status and follow up on unsigned quotes
- Send contracts for signature and confirm deposit receipt before project start
- Coordinate scheduling with clients
- Send weekly project updates to active clients
- Handle client questions, reschedule requests, and logistical communications
- Keep project statuses current in the tracking system
Invoicing & Collections
- Generate and send invoices at each project milestone
- Track payment status for all active projects
- Follow up on overdue invoices
- Maintain accurate records of what's been paid, what's outstanding, what's in dispute
Post-Project Retention
- Help establish and execute a process for confirming project satisfaction and requesting reviews
- Reach out to previous clients for referrals as appropriate

The Process

If shortlisted, you'll receive an assessment testing your problem-solving, communication, judgment, and tech skills. Plan to set aside 90 minutes. Most people complete it in 60–90 minutes.
A 90–120 minute real-world exercise followed by a 30-minute live interview with Edi. This is where you show how you think and work — not just what you know.
Pass the practicum and you become a Certified Virtual Professional. You'll receive your certificate, your badge, and access to our training resources — a deep-dive into how residential contracting businesses run, so you're not learning on the job.
We aim to place certified VCMs within 90 days of certification. Once a client's business has been prepared, we facilitate a match conversation between you and the founder. If continuing feels aligned, you will begin onboarding. Full details on what comes next are shared after certification.

- This is a rigorous process. We assess carefully because we're placing you with founders who are trusting us to send someone exceptional. The training and certification ensure you're set up to succeed.
- Filling out this form and going through the certification process is not a guarantee of placement. Availability depends on founder needs, and we only place when there's strong alignment. Most certified VCMs are placed within 90 days.
